Problem

At Mirantis, Pardot and Salesforce supported a high volume of simultaneous marketing activity, but fragmented processes, conflicting automation, inconsistent campaign structure, and a large database made execution and reporting harder than they needed to be.

More than 30 campaigns could be active concurrently. A database of approximately 100,000 contacts also needed better segmentation to move from broad audience targeting toward communication based on ICP fit and buyer context.

Context

As the primary Pardot administrator, my work sat directly between campaign strategy and the systems required to execute it. That included emails, landing pages, forms, segmentation, automation, nurture programs, Salesforce campaign structure, database management, and reporting.

The operating architecture underneath the campaigns needed to become more consistent.

Approach

I worked to stabilize and standardize the Pardot and Salesforce environment. That included rebuilding campaign architecture supporting more than 30 concurrent campaigns, improving the relationship between Pardot execution and Salesforce campaign tracking, repairing conflicting automation, and creating more structured campaign processes.

I segmented the approximately 100,000-contact database using attributes such as:

  • ICP alignment
  • Persona and role
  • Industry
  • Product interest

This allowed campaign audiences and messaging to become more targeted. I also rebuilt an underperforming content-syndication nurture program, expanding the journey and introducing a more deliberate progression of touches.

The nurture included checks for higher-intent actions such as demo requests rather than continuing the same sequence regardless of behavior. The rebuilt program was relaunched within four weeks.

System

Audience segmentation, Salesforce campaign structure, Pardot execution, campaign assets, automation, engagement tracking, and pipeline reporting became parts of the same campaign system.

The nurture’s behavioral checks made higher-intent actions a decision point within the journey. Consistent CRM campaign structure connected execution to tracking and reporting.

From audience to campaign reporting

  1. Segment the audience

ICP alignment, persona, industry, and product interest define more relevant audiences.

  2. Structure the Salesforce campaign

Consistent campaign architecture establishes how activity will be tracked and reported.

  3. Execute in Pardot

Forms, landing pages, and email feed automation and nurture. Behavioral checks account for higher-intent actions such as demo requests.

  4. Connect engagement to reporting

Engagement and conversion tracking support campaign and pipeline reporting.

A simplified campaign operating model connecting Pardot execution with Salesforce tracking. Higher-intent checks within the nurture inform the prospect’s next step.

Outcome

The rebuilt architecture supported more than 30 concurrent marketing campaigns with greater consistency across execution, tracking, reporting, and database management.

Segmenting the approximately 100,000-contact database around ICP and persona increased average email open rates by 10%.

The redesigned content-syndication nurture was rebuilt and relaunched within four weeks and contributed to pipeline generation.

The larger improvement was operational: campaign execution became easier to manage because audience structure, automation, CRM tracking, and reporting were more intentionally connected.

Lessons

Campaign performance can be an architecture problem. Better copy cannot compensate indefinitely for weak segmentation, inconsistent CRM structure, conflicting automation, or poor campaign governance.

Good campaign operations starts before the campaign is built. It starts with clean data, clear architecture, and agreement about how success will be tracked.
